Distribution Lists - The email system provided by the School and University is for communications related to the business of the School or University only. Reasonable exception can be made for important personal communications among two or a few persons. Personal communications such as these should not be distributed to "DL" addresses or other large groups via the School's email system. If you have questions about use of the email privilege, please consult your supervisor (Department Chair, Program Director or Administrator).

In the Outlook email client you can select multiple distribution lists, this can result in multiple mailing to the same recipient.

Don't Abuse Your E-Mail Privileges - Guidelines on the use of e-mail are not based on etiquette alone. E-mail sent with the intent of disrupting communication or other system services is not allowed. The proliferation of unsolicited commercial e-mail (also known as UCE or "spam"), virus warnings, urban legends and other electronic chain letters is abusive to the mail system and the network. These types of messages waste valuable computing resources, and may be considered harassing. You may lose your network privileges by creating or forwarding these messages.
Inactive accounts - Volunteers - may have an email account with the approval of department chair. If at anytime their mailbox becomes full the account will be deleted permanently.
- Faculty and Staff no longer employed - email accounts are permanently deleted. Exceptions may be granted for 90 days with the approval of department chair. If at anytime their mailbox becomes full the account will be permanently deleted.
- Faculty/Staff not checking their email - Our email and calendar system has Internet access so you can access your email anywhere in the world. Please monitor your mail regularly. If you are going to be out of contact with the school for longer then two months please contact OIT and let us know. After 3 months of not accessing your email without you giving us prior notice we will remove your mailbox and all of it contents permanently.
- Sabbaticals - If you are going on sabbatical please access your mailbox regularly eliminating all unnecessary information.
Comply with Campus Responsible Computing / Rules of Use. Email Maintenance - It is your responsibility to maintain your mailbox. Below are the three basic procedures you should perform on a regular basis. 1. Archiving your email a. Open Outlook. b. Go to file drop down menu and click on Import and Export. c. Choose Export to a file and click next. d. Choose Personal Folder File (.pst) and click next. e. Highlight mailbox-(your name) and be sure to check the box next to Include Subfolders then click next. f. Click Browse and choose save in: My Documents then enter outlook as the filename and click OK. g. Choose Replace duplicates with items exported and click finish. h. Personal Folder can be left as the folder name or you can change to your preference and click OK. (Once your email is archived you may wish to backup this file along with any other critical information you store on your PC) Note: Retrieving your Archived Email - Your archive that you have created is a copy (backup) of your Outlook calendar, email, contacts, etc. This archive is stored on your hard drive (PC). a. Open Outlook and click on the File menu. b. Choose Open and then Outlook Data File. c. Look in: My Documents and pick the file named outlook.pst and click OK. d. This will have added your Archived mail folder to your Outlook bar for easy viewing without having to repeat this step. 2. Emptying your deleted items folder - Right click on your Deleted Items folder and choose Empty "deleted items" Folder. (Note: Office XP can be cleaned using the mailbox cleanup wizard found under the tools menu from Outlook.) 3. Deleting your sent items a. Open Sent Items. b. Left click on the first Sent Item. c. Scroll to the bottom of the list. d. Hold down the Shift button on your keyboard while you left click the last Sent Item. (This will highlight all Sent Items.) e. With all items highlighted click the delete button on the tool bar. (Or right click on any highlighted Sent Item and choose delete from the drop down menu.) " You may also hold down the ctrl button on your keyboard and randomly select Sent Items to delete. f. Do not forget to clean out your Deleted Items folder after cleaning the Sent Items.
